What data does APEX collect?

APEX may process account and roster details, team/school affiliation, training activity, wellness self-reports, nutrition logs, and operational/audit records, depending on how the institution configures use.

Who can access athlete data?

Access is institution-controlled and role-based. Schools and institutions decide which users are authorized to access specific athletics workflows and records.

Does APEX make medical decisions?

No. APEX is not a medical system and does not provide medical advice, diagnosis, or treatment.

Can APEX replace a strength coach or sports medicine staff member?

No. APEX supports workflow and visibility; it does not replace coaching expertise, sports medicine oversight, or institutional policy.

Is athlete participation a school decision?

Yes. Institutions decide whether and how technology is used in their athletics programs and what local policy requirements apply.

How should institutions think about privacy and notice?

Institutions should define clear notice, education, and data-use expectations through their own policy and governance process, including legal and compliance review where needed.

What role should sports medicine play?

Sports medicine should be included in implementation planning and ongoing review to help establish boundaries for interpretation, escalation, and athlete welfare workflows.

Can athletes control what data is shared with coaches?

Yes. Athletes may grant or revoke data-sharing consent with coaching staff at any time on a per-team basis. Data sharing is enabled by default upon joining a team. When an athlete revokes consent, coaching staff lose visibility into that athlete's personal data (meal logs, wellness surveys, bodyweight entries, personal activity records) for that team. The athlete retains full use of the platform for personal tracking and self-monitoring. Institutional program data (assigned training programs, roster membership) remains visible to coaching staff regardless of consent status.

Do athletes and coaches accept platform agreements before using the Services?

Yes. Athletes must accept a platform participation agreement that includes disclosure of data-sharing defaults and their right to modify sharing preferences. Coaches and staff must accept a Coach & Staff Platform Agreement that covers the informational nature of the platform, institutional authorization requirements, student data handling responsibilities, and appropriate use obligations. Both agreements are version-tracked and logged with timestamps, IP addresses, and user agents.

What happens to athlete data when an athlete leaves a program?

Athlete performance data (set logs, wellness entries, meal logs, bodyweight records) remains associated with the athlete's account. If an athlete departs an institutional program, APEX revokes the institution's access to that athlete's personal data but does not delete it — the athlete retains their records. If the athlete has no remaining active account on the platform, data is deleted upon request or in accordance with the data retention policy.

How should this be reviewed internally before adoption?

A practical review process usually includes athletics leadership, coaching/performance staff, sports medicine, IT/security, and legal/compliance stakeholders. Institutions should document approved uses, prohibited uses, access controls, and periodic review expectations.
